Choose the right status field in your CRM

If your leads all appear as "New lead" despite a configured mapping, your CRM probably uses a custom property to drive pipeline status. This guide shows you how to identify and configure that field in 2 minutes.

Why this guide exists

If your leads are all showing as "New lead" in Metrikia even though your CRM is synced and the mapping is configured, it is usually because Metrikia is reading the wrong field from your CRM.

For example, HubSpot provides the standard "hs_lead_status" field - but many teams drive their pipeline via a custom property (e.g. "deal_stage", "pipeline_status", "custom_lifecycle"). In that case, "hs_lead_status" is empty for 80-100% of your contacts and the CRM mapping finds nothing to work with.

Prerequisites

  • Your CRM (HubSpot, Pipedrive, etc.) is connected to Metrikia.
  • A first sync has taken place.
  • You are admin or owner of the tenant.

Steps

1. Open the mapping wizard

  1. Go to https://app.metrikia.io/app/settings, Integrations tab.
  2. Locate your CRM in the "My connections" list.
  3. Click Configure mapping.

2. Step 0: Choose the source field

The wizard opens on the "Source field" step. You see recommended fields for your CRM: these are the properties most commonly used to drive a pipeline.

  • If your status field appears in the recommended list, click it to select it.
  • If your field is custom (e.g. "deal_stage", "custom_lifecycle"), click See all properties to browse your full CRM property catalog.
  • Find your field in the list and click it.

Once your field is selected, click Confirm field. You can also click Skip to use the default recommended field.

3. Next steps: Analyze and Map

Once the field is confirmed, the wizard moves to the analysis step. It now reads your custom field and shows the actual values present in your CRM (e.g. "New", "Appointment set", "Deal signed").

Continue through steps 2 (Map) and 3 (Confirm) as usual.

4. Expected result

After mapping, your leads update on the next sync cycle. Metrikia statuses then accurately reflect your real pipeline.

Frequent errors

  • "Could not load CRM properties": your CRM connection may have expired. Reconnect your CRM in Settings > Integrations, then reopen the wizard.
  • My field does not appear in the list: some fields are hidden or archived in the CRM. Check that the property is active and accessible from your CRM settings.
  • Mapping is configured but statuses remain empty: verify that the chosen field actually contains data in your CRM. If the field is empty there, Metrikia has nothing to read.

Frequently asked questions

Can I change the field later? Yes. Reopen the wizard from Settings > Integrations at any time. The new field applies from the next sync onwards.

Does changing the field affect already-imported leads? Existing leads are updated on the next sync cycle with values from the new field.
